Configure Autoresponder Emails

Simply Forms can automatically send an autoresponder email after a customer successfully submits a form. This is useful for confirming that a submission was received, providing next steps, sharing additional information, or sending links and other resources.

Autoresponder emails are built into Simply Forms, including the Free plan. You don't need to configure a separate email service to use them.

 What happens after a form is submitted?  

After a successful submission, you can configure Simply Forms to:
  • Show a success message on the same page, or
  • Redirect the customer to another page according to your workflow.
By default, Simply Forms can also send an autoresponder email to the customer.
Note: Simply Forms needs to know the customer's email address before it can send an autoresponder email. The customer can either be logged in or provide an email address through a form field mapped to Customer Property → Email.

 Customize the autoresponder email 

Open your form in the Form Builder and go to the Configuration page.
In the autoresponder settings, you can customize the email subject and email content.


For the email content, you have two options:
  1. Use the same content as the Show Message box.
    This is convenient when the message displayed after submission and the confirmation email should contain the same information.
  2. Use separate email content.
    Disable the option to use the Show Message content, and a separate editor will appear for the autoresponder email. This allows you to provide different information in the email.
For example, your on-screen message might simply say “Thank you. We've received your request.”, while the autoresponder email can include more detailed instructions, links, contact information, or next steps.

 Create rich email content 

Simply Forms provides a rich text editor for autoresponder emails. You can add and format content such as:
  • Text and headings
  • Images
  • Links
  • Emojis
  • Lists and other formatted content

Align text

Use the alignment buttons in the editor toolbar to align text to the left, center, or right.

Align images

Image alignment works differently from text alignment.

Hover your mouse over an image in the editor. The L · C · R controls displayed below the image let you align it to the left, center, or right.

Set image dimensions 

When adding an image, you can specify its width and height.
You can use:
  • auto to let the browser determine the dimension automatically, or
  • A specific pixel value such as 50px, 200px, etc.
For example, you can set the height to 50px and the width to auto to display a logo at a fixed height while preserving its aspect ratio.

 Sender email address 

By default, autoresponder emails are sent from:
[email protected]  No additional email-service configuration is required.


Merchants on a paid Simply Forms plan can use their own email address as the sender address for better store branding. Please contact the Simply Forms team to have your sender email address authorized before using it.

 Configure your Reply-To address 

If you use the default [email protected] sender address, we recommend configuring your own Reply-To email address.


When a customer replies to an autoresponder email, their reply will then be delivered to your Reply-To address. This lets you continue the conversation from your regular business inbox without missing customer replies.


Once you receive the customer's reply, you can respond directly from your own email client.

 Why is there another Reply-To address? 

You may notice an additional address similar to this in autoresponder email conversations:

This special address is auto-generated and used internally by Simply Forms to keep track of customer communication associated with a submission.
When email communication is copied to this address, Simply Forms can record the conversation in the submission timeline, giving your team a convenient history of customer interactions directly from the submission detail page.

Please keep this Simply Forms address copied when replying to or continuing the email conversation with your customer. Removing it means subsequent messages may not be recorded in the submission timeline.

 

 Send an email from a submission 

Autoresponder emails are sent automatically after a successful form submission, but you can also initiate an email conversation manually.


Open a submission's detail page and click Send email to compose and send a transactional email to the customer.


These emails use a similar Simply Forms tracking address so that subsequent customer communication can also be recorded in the submission timeline.
This gives you two ways to communicate with customers:


  • Autoresponder email — automatically sent after a successful form submission.
  • Send email — manually send a transactional email from an individual submission when follow-up is needed.


    Both can become part of the submission's communication history, helping you keep the original request and subsequent customer conversations together.
